These terms explain how working with Meridian & Co. works: quotes, payments, proofs, ownership and the rest. They apply to every service we offer, including websites and SEO, AI automation, social media, content and copywriting, video and editing, and heirloom and memorial albums. By approving a quote, sending a design, or paying an invoice, you agree to them. If anything here differs from your signed quote or agreement, your quote or agreement comes first.
- Quotes. Every project starts with a written quote. Extra work is priced and approved before it starts.
- Payment. Most projects take a deposit, usually 50%. Invoices are due within 7 days unless the invoice says otherwise. Late invoices get a $25 fee for each month they stay unpaid.
- Questions about a charge. Email us within 10 days of the invoice date and we’ll go over it with you and fix any mistake.
- Monthly services. Billed in advance. Cancel with 30 days’ notice by email.
- Approvals. You see a proof first. Once you approve it, it’s final.
- Ownership. The finished work is yours once it’s paid in full.
- Outside costs. Hosting, software, ads and stock media are separate unless your quote includes them. Album printing is ordered and paid for by you.
- Results. No one can guarantee rankings, followers or sales.
1. Quotes
Every project starts with a written quote describing the work, the price and the timing. A quote is good for 30 days. Anything not listed in the quote is not included; if you ask for more, we’ll tell you the price before doing it, and start only once you approve it in writing (an email is fine).
2. Deposits and Payment
Most projects need a deposit before work begins, usually 50%. The deposit and the balance are shown on your quote or invoice. Invoices are due within 7 days unless your invoice says otherwise. If an invoice isn’t paid by its due date, a $25 late fee is added, and another $25 for each further month it stays unpaid. We may pause work while an invoice is overdue, and finished files are delivered once the balance is paid.
Each service is billed the way that fits it best (for example, a website is one project price, while SEO and social media are monthly). The details are on each service page under the gold Payment terms button, and they are part of these Terms.
You can pay by card or bank transfer using the “Pay now” button on your emailed invoice, or by Venmo, Zelle, check or cash as shown on our Pay your invoice page. Always include your invoice number. Some payment apps charge their own fees; those are between you and the app.
Questions about a charge. If something on an invoice looks wrong, email us within 10 days of the invoice date with the invoice number and the item in question. We’ll go over it with you and correct any mistake. Please pay any part that isn’t in question by the due date.
3. Monthly Services
Ongoing services such as social media management, SEO and AEO, and AI automation support are billed monthly in advance (see the Payment terms button on each service page). You can cancel with 30 days’ written notice (an email is fine). The current month is not refunded.
4. Proofs, Approvals and Changes
Before anything goes live or is delivered, you’ll see a proof. Your quote says how many rounds of changes are included. Please check names, dates, spelling and photos carefully: once you approve a proof, it’s final, and changes after approval may cost extra. A proof may carry a “PROOF” mark and lower quality; the final version won’t.
5. Albums
Albums are designed just for you. We create the design from the photos and words you send, and deliver finished, print-ready digital files. We don’t take photos and we don’t print albums: you order printing from the print company of your choice, and the printing, price, quality, shipping and timing are between you and that company. Because every design is custom, a finished album design can’t be refunded once you’ve approved it.
6. Your Photos, Materials and Help
You confirm that you own, or have permission to use, every photo, logo, video and piece of text you send us. You keep ownership of your materials. You give Meridian & Co. permission to use them only to make your project. We will not show your family photos or your project in our portfolio or marketing without your written permission.
To keep a project on schedule, please send accurate information, content, logins and approvals when we ask for them. If those arrive late, the schedule moves with them. If a project is waiting on you and we don’t hear back for 30 days, we’ll pause it and bill for the work done so far. We’ll pick it back up when you’re ready, at the next open spot in our schedule.
7. Who Owns the Finished Work
Once your project is paid in full, the finished work is yours: your website files, your copy, your edited videos, your album files. Until then, it stays ours. You receive the finished, approved files, and your quote lists them. Drafts, working files and editable project files are part of how we make your project and aren’t included unless your quote says so. Some parts may come from outside companies (for example, licensed stock photos, fonts, plug-ins, hosting or domain names); those follow the outside company’s own license, and we’ll tell you about any that matter.
8. Outside Costs and Tools
Costs charged by other companies, such as domain names, hosting, software subscriptions, advertising budgets and stock media, are not part of our fee unless your quote says so. We’ll tell you about them up front, including any that renew monthly.
Some work uses outside platforms and AI tools. Those companies can change or interrupt their services, so we can’t promise they’ll always be available or work the same way. Anything made with the help of AI is reviewed by a person and approved by you before it’s used.
9. Results
We work hard to help your business be found and chosen, but no one can promise a particular Google ranking, an answer in an AI tool, a number of followers, a level of traffic, leads or sales. Search engines, AI tools and social platforms change their rules on their own.
10. Cancelling a Project
You can cancel a project at any time by email. You pay for the work done up to that point, and any outside costs you already approved; deposits are not refunded once work has started. If you cancel before any work begins, we’ll refund your deposit.
11. Privacy and Logins
We only use your contact details and files to do your project and to reply to you. We don’t sell or share them. Photos you arrange on our design page stay on your own device until you choose to upload them.
If you share logins with us (for example, for your website, Google Business Profile or social accounts), we keep them private, use them only for your project, and you can change the password or remove our access at any time.
12. Responsibility
If something goes wrong because of our work, the most we are responsible for is the amount you paid us for that project. We aren’t responsible for problems caused by outside companies, such as hosting outages, platform changes, printers or shipping carriers.
